Schools & colleges

For schools and colleges: every student’s fees, billed, collected and in the books.

Tuition every month, exam fees every term, transport, hostel and admission. Set the fee structure once per class, generate the month’s fee bills for the whole school in one go, take fees at the counter with a printed receipt — and see who still owes, class by class.

Figures show a sample school.

How fees flow in Accura

From the fee structure to the receipt in the guardian’s hand.

A sample year at Sunrise Academy in Bhaktapur — what the accounts office does, and what Accura writes in the books at each step.

  1. Once · before Baisakh

The academic year, classes and sections

Academic year 2083/84 from Baisakh, with three terms. Classes from Nursery to Class 10, each with sections A and B.

The frame every fee hangs on — nothing billed yet.

    • Nothing in the books yet
  2. Once

    Students in from Excel

The admission register as an Excel sheet — student number, name, class, section, roll, guardian and phone — with headings in English or Nepali. A preview first, then add.

    In Accura: Students → Import

Each student becomes an account under “Students” in Sundry Debtors.

  3. Once a year

A fee structure for each class

Class 7: tuition Rs 3,500 a month, transport Rs 1,200 a month, exam fee Rs 800 a term, admission Rs 10,000 once — for new admissions only. Due on the 10th.

Fee heads are VAT-exempt by default — education services are exempt from VAT in Nepal.

    • Nothing in the books yet
  4. When needed

    Scholarships and concessions

A 25 % scholarship for one student, a sibling discount for two brothers, the staff-child discount for a teacher’s daughter — each with its reason.

    In Accura: Student → Concessions

Taken off each fee bill the student gets; the concessions report lists every one.

    • Nothing in the books yet
  5. Start of the month

Generate fees for the whole school

Baisakh for every class: the preview shows 412 students, 412 bills, Rs 19,46,200 — then post. Students who left are skipped.

In Accura: Students & fees → Generate fees

One fee bill per student, on its own FEE number series. Run it again and nobody is billed twice.

    • Student dues +
    • Fee income by head
  6. All month · the fee counter

    Collect fees, print the receipt

Aarati’s mother pays Rs 10,200 by QR. The screen shows what is due by month and fee head; the oldest dues are paid first. Pay more and it stays as an advance.

In Accura: Students & fees → Collect fees

A FEE RECEIPT on the 80 mm roll or A4: PAN, receipt number, BS date, class and roll, heads paid, amount in words, balance due, received by.

In Accura: Reports → Fee dues · Defaulters

Nothing is sent on its own. Defaulters lists those overdue more than the days you choose.

    • Reminder from your phone
  8. Month end · for the accountant

    Collection and the books

Collection by day, fee head and payment mode; each student’s fee register as their statement; the Profit & Loss with fee income by head.

In Accura: Reports → Fee collection · Profit & Loss

Same books as the rest of Accura — Day Book, Trial Balance, ageing — and every report to Excel or print.

    • Profit & loss
    • Day Book

Alongside the year

  • Late fees, if you want them

An optional rule: a fixed amount or a % once a fee is so many days past due.

  • A one-off charge

A lost ID card or a trip fee, billed to one student. A wrong bill is cancelled the normal way — its number stays used.

  • Promote a class

At the new academic year, move a whole class up to the next one in one go.

  • Uniforms and books at the counter

Normal stock items, sold on an ordinary counter bill — stock and books stay right.

Good to know

What it is, and what it isn’t.

Is this a full school management system?

No. Accura handles fees and accounts — students, fee bills, receipts, dues and the books. Admissions, attendance, exams and marksheets, timetables and online classes (LMS) are not part of it.

Is VAT charged on fees?

Fee heads start as VAT-exempt, because education services are exempt from VAT in Nepal. Uniforms, books and stationery you sell are ordinary stock items, billed at the counter. Check anything unusual with your tax adviser.

Can we bring in our students from Excel?

Yes. Import students from an Excel or CSV sheet with headings in English or Nepali — you see a preview first, then add them.

What if a fee bill was wrong?

Cancel it the normal way — the number stays used, so the series has no gaps — and bill again. An extra charge for just one student is a one-off charge to that student.

We have more than one campus.

Each campus is a branch. Larger institutions use the Enterprise plan — unlimited users and branches. See pricing.
